Requesting a Shift Change
A Coworker can submit a request to their manager to modify one of their own scheduled shifts.
⚠️ Please note: these requests can only be made for published shifts.
⚠️ It is possible to request a change for a shift (work or absence) as long as it is in the future — including today — unless a punch has already been recorded for that shift.
? Types of shift change requests:
• Simple change: adjusting a parameter of the same shift (start time, end time, or break).
• Day change: moving a shift to a different day.
• Combination: changing both the day and some of the shift’s parameters.
• Shift swap: exchanging one shift with another, or with an absence (e.g. swapping a rest day with a working day).
? Steps to submit a request
1. The employee starts by selecting the day of the original shift to be changed, using a monthly calendar view showing all their published shifts.
2. Once a day is selected, the scheduled and published shift(s) for that day will appear.
3. The employee then selects the shift they wish to modify and clicks “Validate your request.”
? Default view
By default, the shift change settings apply to the same day, with no changes to start time, end time, or break.
? Note: If any parameter is modified, the changes will be visible directly in the request summary.
Example: if the start time is changed from 11:00 to 11:30, this update will be shown in the request.
? Example: Day change
If the new target day already has a published shift, the system will ask you to select the desired action:
• Simple change: the original shift will be moved to the selected day, without affecting the existing shift. This could result in a conflict that will need to be resolved.
• Shift swap: the shifts from both selected days will be exchanged.
Once you’ve chosen the action, a preview of the requested change will be displayed.
✅ Finalising the request
Once everything is confirmed, click the green “Create request” button at the bottom of the screen to submit it.
⚠️ Situations requiring attention
• If there are pending requests involving the same shift, a warning message will appear.
• Creating a new request will likely require you to manually cancel any previous request(s).
❌ Cancelling a request
To cancel a request, open its details, click the three-dot menu in the top right corner, and select “Cancel request.”
? Where to view your requests
• All requests you’ve submitted will be listed under the “Request Management” tab, in the pending section.
• You can also access pending or processed requests directly from the shift detail view, under the “Requests” tab.
? What happens next?
• The Manager receives a notification with the proposed change.
• From their weekly view or notification panel (on the desktop or mobile app), they can accept or reject the proposal.
• If accepted, the change is applied automatically without needing to republish the schedule.
• If rejected, the original shift remains unchanged.
