Shift Change Proposal by the Manager


Managers can usually make changes to the schedule and publish them.


Employees affected by these changes receive a notification and immediately see the updated shifts in their own calendar within the Beam app.


In some cases, the Manager may initiate a shift change request, proposing a modification to a shift already assigned to one of their team members.


This type of change may be due to an operational need, a team reorganization, or simply a planned coverage adjustment.


The shift change proposal flow allows these situations to be properly tracked and provides clear visibility on whether the employee accepts or declines the proposed change.


Types of Changes a Manager Can Propose

    •    Simple change: modifying a parameter of the assigned shift (start time, end time, or break).

    •    Change of day: moving the shift to a different day.

    •    Combination: changing the day along with shift parameters.

    •    Shift swap: proposing an exchange between two shifts of the employee. This is useful, for example, when proposing to move a rest day.




How to Propose a Shift Change

    1.    The Manager accesses the team calendar from the weekly view.

    2.    They select the shift to be modified and enter edit mode.

    3.    The shift now displays three tabs. The third tab lists any existing requests for that shift. At the bottom, click “Propose a shift change”.

    4.    The Manager defines the new shift parameters or selects the new day, depending on the desired change:


4.1 If the change only concerns a shift parameter


(e.g. start time, end time, or break duration), they simply adjust the relevant fields.


4.2 If the change involves a change of day:

    •    If the target day has no shift assigned, it will be considered a simple change.

    •    If a shift is already scheduled (published or not) on that day, the system will prompt the Manager to choose between:

    •    a simple change, or

    •    a shift swap


Once the type of change is selected, a preview will show how the change will be applied if the employee accepts the proposal.

    5.    The Manager can optionally add a note for the employee (in the “Note” field at the bottom).

    6.    They validate the proposal by clicking “Confirm and send request”.


? Note: Managers can also propose a shift change from the Beam mobile app, by accessing the employee’s shift from the weekly view in the Manager Panel (accessible via the side menu in the app).


What Happens Next?

    •    The employee receives a notification with the proposed change in their Beam mobile app.

    •    From the notification panel or the pending requests view, they can accept or decline the proposal.

    •    If accepted, the change is applied automatically.

    •    If declined, the original shift remains unchanged.


❌ Cancelling a Proposal


As long as the proposal is still pending, the Manager can cancel it from the shift detail view or from the “Request Management” tab.


Tracking Proposals


Both the Manager and the employee can track the status of proposals in the “Requests” tab, with visibility on the following statuses:

    •    Pending

    •    Accepted

    •    Declined

    •    Cancelled

    •    Expired
