Introduction

This article explains how to configure an Overtime / Extra Hours counter in Beam.

To understand the general operation of Overtime Counters in the Beam platform, please start by reading this article.

An Overtime / Additional Hours Counter allows you to automatically calculate, accumulate, and compensate for excess or deficit worked hours based on the rules specified by the company's operation or collective agreement.

Getting Started with Configuration

  1. Log in to your Beam account as a Manager or Super Administrator.

  2. Click on "Account Configuration" at the bottom left of the side panel to access the settings.

  3. In the side menu, click on "Hours Counters" to access the management and editing of hours counters.

  4. Click the "Add" button to create a new type of hours counter.

  5. Choose "Overtime/Additional Hours"

Validity Period

Specify the validity period of the hours counter.

Note that within each Counter, you can choose and define validity periods that will evolve the counter's conditions regarding its accumulation parameters, multiplier factor, and compensation method. You won't have to modify contract types one by one. Adding a new validity period in each Counter will impact calculations for all employees with this type of Hours Counter.

Creating a New Hours Counter

Accumulation Method

Choose the calculation basis: Daily Calculation or Weekly Calculation.

Daily Calculation: Excess worked hours are calculated daily. You must define the number of regular hours. Weekly Calculation: Excess (or deficit) worked hours are calculated weekly in relation to the employee's working hours for each week, accounting for their working hours, rest days, and holidays or days off.

Define the multiplier factor: The expected format is 1.x, where x represents the percentage applied compared to regular hours. For example, if the increase for overtime hours is 75%, the multiplier factor will be 1.75.

Notes:

  • In the weekly accumulation method, you can optionally enable the application of the multiplier factor for deficit worked hours as well. This means that if an employee has a 40-hour per week contract and alternates between working 36 hours one week and 44 hours another week (averaging 40 hours per week), any excess hours worked will accumulate with the multiplier factor and can be compensated with fewer hours on schedules, where the same multiplier factor applies, thereby balancing their hours counter.
  • This option is available only for compensation methods involving lower scheduling than working hours.

Recording and Compensation Configuration

Four options are available for the recording and compensation method:

  1. Automatic compensation with scheduling lower than normal working time and/or paid hours.
  2. Compensation with Compensatory Rest and/or Paid Hours.
  3. All accumulated overtime hours are paid monthly.
  4. Automatic compensation with scheduling lower than normal working time and/or Compensatory Rest and/or Paid Hours.

With option 1:

  • The lack of scheduled hours compared to actual working hours will be automatically accounted for as compensation.
  • If no work schedules are planned in the weekly calendar compared to working hours, this will be automatically considered a reduction of hours from this counter's balance. You can also manually indicate the number of hours to be paid that will be deducted from this counter's balance. The paid hours will appear in weekly, monthly, and yearly reports as Additional Hours (AH).

With option 2:

  • Only types of absences that do not count as working time can be selected here. You will need to schedule compensatory rest times in the calendar to signify compensation. You can also manually indicate the number of hours to be paid that will be deducted from this counter's balance. The paid hours will appear in weekly, monthly, and yearly reports as Additional Hours (AH).

With option 3:

  • All accumulated overtime hours in this counter are automatically accumulated and compensated as paid hours. The accumulated overtime hours will appear separately in weekly, monthly, and yearly reports as Additional Hours (AH). If the planned hours for a week are less than the week's working hours for an employee, this hours deficit will not be considered as compensation for accumulated overtime hours.

With option 4:

  • The lack of scheduled hours compared to actual working hours will be automatically accounted for as compensation. You can also assign Compensatory Rest and Paid Hours. Select here the type(s) of absence that compensate for this hours balance.

Note: In all cases, hours on schedules are substituted with actual working hours from the day before the present day when the option to track actual working time is activated on the schedule.

CREATE / SAVE

Finally, click "Create" (or "Save" in case of modification) to save the hours counter configuration. It will then appear in the list of counters, and you can select and add it to a type of employment contract.
