Understanding Overtime Counters and Working Days Configuration

In certain situations, it's possible to fine-tune the automatic calculation of working days used as a reference for the accumulation (excess or deficit) of hours in Hour Counters.

This can stem, for instance, from the establishment's usual closure on Sundays or even Saturday afternoons. Therefore, if a public holiday falls on a Sunday or Saturday, the system will deduct the hours corresponding to the specific distribution of that establishment. This provides a working hours count closer to the reality of the store/establishment's operation.

Moreover, when a half-day weekly rest (= half working day) is utilized, the distribution of worked hours also becomes closer to the reality of the store/establishment's operation.

This is why, in addition to defining days off in the contract type assigned to the employee, it can be useful to define a typical distribution of working days for each store or establishment.

NOTE: This establishment-level definition of working days is not mandatory. It's possible to solely use the definition of the number of weekly rest days at the employee's contract level.

To define the usual distribution of working days for a store or establishment, go to Account Configuration => Structure & Organization. Search for the store or establishment you're interested in, click "Edit Store," and navigate to the "Weekly Working Days" tab.

If it hasn't been defined yet, it will appear as follows:

When you click the "Set Weekly Distribution" button, you can start defining it:

You need to set a validity period; this will allow you to make future changes without affecting past calculations.

Next, you can define the distribution of typical working days for this store or establishment. Check the box below each day of the week to define its status: Lab = Working Day; Lib = Off; the third possible status is Lab/Lib = the store is open only half-day.

As always, click the "Save" button at the bottom.

From there, in the Hour Counters, the number of working days will follow this distribution, taking into account potential holidays of the store or establishment of reference for the employee, as well as approved days off for that employee.

When the distribution of working days is defined at the store/establishment level, in the box that appears when hovering over the week number with the mouse, the detail specifies that this distribution comes from the establishment:

Conversely, when this distribution isn't defined at the store/establishment level, the detail indicates that this distribution comes from the contract:

NOTES:

  1. When the number of weekly rest days defined at the contract type level differs from the number of days off defined by the weekly distribution of this store/establishment, it's always the higher of the two that will be considered, i.e., the one yielding the lower number of working days.
  2. When the distribution of working days isn't defined for the employee's reference store/establishment, it's always the number of days off/working days defined in the active contract for that employee that will be considered.
