As we have seen, there are four types of sections that can be added to tasks and missions:


  • Attached File: To attach a file in image, Excel, PDF, etc., format.
  • Text: To write and format explanatory text, such as instructions, regulations, or procedures. It accepts links.
  • Upload Photos: To request users to upload photos of their assemblies or the state of installations.
  • Form

Note: The first two types of sections (Attached File and Text) do not require user execution. If the task consists only of these types of sections, it is considered an informative task, and adding a Read Check is proposed to track people who have read these instructions, information, or process.


Forms

Now, let's focus on the types of forms and the different options they offer:


There are four types of elements that can be included in a form:

  • 1. Checklist
  • 2. Option List
  • 3. Text Response
  • 4. Numeric Response


To build or edit a form, its presentation is structured in two parts:


- On the left, the Form Preview.

- On the right, the Form Designer.


Start by selecting the type of element you want to add in the Form Designer, and from there, you'll have various configuration options for each element.


Under each element in the designer, there are buttons to:

  • Add a new element.
  • Duplicate the element to quickly add the same type of element, only changing the text/title/question of each element.


You can mix any of the four types of elements in the same form, and you can change the order of each element in the form thanks to the button located in the upper right corner of the element in the designer.


For all elements added to the form, you can optionally indicate whether the response is required or not.


1. Checklist

   Here it's easy; just add a checklist item.


2. Dropdown

   With option lists, you give the collaborator the choice to select a response from various possible options presented in a list.


   - You can create your own list of options by adding options one by one.

   - You can choose from various option lists available in the options repository.

   - Customize your option lists and save them in the repository.

3. Text Response

   Complete the element's name field, which would be the question you ask.


   - You can indicate whether it's a "Long Answer" for a longer response field or a single-line response, prompting the collaborator to provide a shorter answer.


4. Numeric Response

 With this type of question, you expect a numerical response, making it easy for the collaborator as the numerical keyboard will immediately pop up on the mobile device for a quicker response.


Options include whether decimal numbers and/or negative numbers are accepted.


Once you've finished preparing the form, it's important to save it by saving the section.


Then, you can add another form, for example, if you want to have question and rating blocks well separated. For example, in the case of a store visit checklist, you can separate each block into separate forms in the same task for Operations, Customer Service, Visual Merchandising, Human Resources, Cleaning, etc.


You can also add other types of sections: Attached File, Text, or Upload Photos.


When the task structure is ready, you can close it to have it as a list. Then, you can PUBLISH it. It will appear to collaborators to complete from the start date specified in the task.
