Adjusting Working Days in Specific Situations

There are situations that can affect the calculation of working days and make the system's automatic calculation inadequate for these specific scenarios.

When an employee takes a full week of vacation, the system easily considers that the employee has no working hours for that week. Hence, no difference is generated in their hour counters (worked hours and laborable hours are both equal to 0 in this case).

However, in cases where multiple holidays and/or days off fall within a week (but not an entire week off), the system's automatic calculation to determine the employee's number of working days for that week might not be suitable. It may be necessary to recalculate the number of working days for that specific week for the employee, taking their contractual days off into account for adjustment:

For instance, an employee has 2 days off according to the contract, but during a particular week, they have 3 days of rest (including holidays and days off): the system would automatically calculate that they have 2 working days that week: 7 calendar days - 3 days of rest - 2 days off = 2 Working Days.

In such cases, there might be situations where the collective agreement or company regulations actually allow adjusting the working days for that week.

In these scenarios, Beam enables the manager or super-administrator of the account to manually modify the definition of working days for that employee during that specific week.

To do this, it's straightforward: just click on the box of the week number in question, and another window opens to show us how the employee's working days have been calculated and defined for that specific week:

  • Bank holidays
  • Paid Time-off days
  • Time-off days, specifying whether they're defined by the contract assigned to the employee or by the distribution of working days of the store/establishment of reference for that employee.


By clicking on the boxes below each day of the week, we can modify the workable nature of each day for that specific week for the employee: W = Working Day; TO = Time-off day; the third possible state is W/TO = the establishment opens only half-day, or the employee enjoys half-day rest on that day.

By adjusting the number and distribution of working days for the employee during that specific week, the count of worked hours for the week will be adjusted. Consequently, the positive or negative accumulation in the hour counter will be compared to the total hours worked by that collaborator in that week.

NOTE: it is not possible to change the working condition of a day when it is a Bank Holiday or a PTO Day.

When a week has been manually modified, the week number is underscored.

When you hover over the week number with the mouse, in the small window detailing the distribution of working days for that employee that week, you'll see several levels:

  • The distribution from the contract or establishment/store
  • The manually adjusted distribution (modified)
  • The final distribution considered for calculating the working hours for that week for that collaborator.
